Ashfield College is a Full-Time 5th & 6th Year School in South Dublin, which has a long and proud tradition of preparing students for the challenges of the Leaving Certificate, for over 40 years. Ashfield Colleges is part of the City Education Group (which incorporates City Colleges, City Language School and Progressive College). We are seeking to hire a Front Desk and Admissions Administrator to manage the College reception area and assume responsibility for the administration aspect of the Admissions process

Candidates will be required to provide evidence of:


  • Excellent organisational and administrative skills
  • Proven work experience in an administrative capacity and front desk experience
  • Proven ability to communicate information to the public in an effective and professional manner
  • Thorough knowledge of customer service, front desk management and basic bookkeeping procedures
  • Excellent interpersonal, spoken, and written communication skills
  • Fluency in English (oral and written)
  • Ability to multitask
  • Problem-solving skills
  • Strong IT skills, including experience using the full suite of Microsoft packages, experience of Student Information Systems and Software is advantageous
  • Ability to work effectively and accurately under pressure
  • Ability to work independently and manage own workload
  • Flexible approach to work
  • Ability to deal with high volumes at key periods

Desirable criteria for the position

  • Third Level qualification
  • Previous experience of working in an educational institution (second or third level) would be very beneficial for this position

The position of Head Receptionist has responsibility for providing a professional and comprehensive administrative service associated with the admission and recruitment of students to the College and the day-to-day running of the front desk in the College.


Administering all front desk activities, including the Admissions process. Combining strong administration skills with a dynamic, professional attitude. Our ideal candidate will deal efficiently with phone calls, in-person visitors and students and will have a strong customer service approach and ability to multitask. Ultimately, the successful candidate will be able to ensure a professional and efficient service is delivered to all concerned.


  • Ensure front desk is presentable and all necessary materials are to hand (e.g. application forms, informative literature, notes)
  • Ensure timely and accurate customer service
  • Ensuring all relevant admissions emails/letters/phone calls regarding enquiries and applications from students are dealt with efficiently and effectively
  • Monitor stock and order office supplies
  • Ensure proper mail distribution
  • Keep updated records of expenses and costs
  • Ensure company’s Health and Safety, GDPR, Security and Covid requirements are adhered to
  • Recording and updating attendance
  • Providing student letters, receipts, completing required paperwork from parents
  • Responsible for the administration processes associated with recruitment and admission of Students
  • Provision of educational guidance and advice to prospective students
  • Ensuring that all applications are entered and updated accordingly on the student information system and that student files are maintained appropriately
  • Dealing with personal callers to the school/ Admissions Office
  • Issuing of all letters, offers and other relevant documentation to eligible applicants and liaising with applicants regarding status of their application
  • Attendance at Course Registrations/Information Sessions/Open Events
  • Mange the delivery and management of grinds classes
  • Sourcing/recruitment of high quality teachers
  • Liaise with staff and parents
  • Assist Principal with RACE and DARE applications as required
  • Direct the management of day-to-day functions of Ashfield College
  • Review of academic calendar (Start/Finish dates, Holidays, Exam dates etc.)
  • Manage support staff (Study supervisors, Attendance officers)
